I noticed that when I choose Householding that sometimes more than one label prints for one address?
A label is created for each unique last name in each household. As a result, a family with two different last names residing at the same address will have two labels printed for that single address.
I printed mailing labels and recorded the contact records but then we decided not to send these labels. What can we do?
You may go to the mailing form and delete the mailing. This will also delete the Contact record.
I created household mailing labels. In this case, does each voter in the household get a Contact record?
Yes, if there is more than one person in a household, then each person will get a Contact mailing record. If individual mailings are sent, then only the voters that meet the criteria would have a Contact mailing record.
I will not be adding any Contact records to the system, do I have add any Volunteers?
No, you do not have to enter any volunteers. It is only required if you are tracking individual Voter Contact records.
Most of my Campaign Volunteers are in the regular list of voters since they reside in my election district. If they will be entering Contact records in the system do I have to add them on the Volunteers form?
Yes, the campaign workers are stored separately from your voters, so you must enter the minimal information needed for your campaign workers or volunteers. Many campaigns identify the volunteers in the list of voters by editing their records and clicking the “Volunteer” checkbox. This will allow you to print lists of your volunteers and to allow you to include or exclude them from specific mailings.
I created several different mailing lists and need to change the description of one of them. Do I need to delete it and re-create it or can I change the name?
You may correct the description at any time. Click on the “Mailings” button on the main menu. See the chapter on “Mailings” in this User Guide for detailed instructions.
Before I registered
, I imported the first 100 records of the General Use file. I practiced adding voters and created a mailing. Now that I have registered the software, will all my practice data be removed when I import the entire General Use file?
Yes, you are warned that all prior voter data will be deleted when you import the General Use file. Please note that Volunteer Information, Issue descriptions, Custom Fields, and Setup information are not affected by the import of the General Use file.
The selection criteria on the Lists & Reports showed “Number of Addresses” to be 100. After I created a RoboCall List, why were there only 98 Telephone numbers in the list?
Although every voter has an address and can be included in mailings and lists, not every voter has a phone number. The RoboCall list includes unique telephone numbers. For example, if there are 5 family members at an address all with the same phone number, the RoboCall list will only include the phone number once.
